What we do with your information, in plain English. Last updated October 2026.
Who we are
Barker Bus Ltd, Poplar Farm, Hamlet Hill, Roydon, Essex CM19 5JY. Operator licence PF1123987.
We are the data controller for the information described on this page. If you have a question about your information, email contactus@barkerbus.co.uk or ring 01279 793800.
What this page covers
This page explains what we do with personal information that comes to us through this website, by email and by telephone. It is written in plain English rather than legal language. If anything is unclear, ask us and we will explain it.
What we collect, and why
If you ask for a call back. Your name, your organisation if you give one, your telephone number, when you would like us to ring and a short note about what you want to discuss. We use it to ring you back. The lawful basis is our legitimate interest in responding to an enquiry.
If you sign up for a home to school place. The parent or guardian's name, the student's name and school year, the route and stop you need, your address and postcode, your telephone number and email address, your preferred payment option, and anything you tell us about special requirements. We use it to allocate a seat, issue a ticket, invoice you and run the service safely. The lawful basis is performing our contract with you.
If you send us feedback. Your name or the name of your group, a star rating and whatever you write about your journey and your driver. We use it to look into what you tell us and to improve the service. The lawful basis is our legitimate interest in understanding how we are doing. We do not publish anything with your name on it unless you have told us we may.
If you ask for a quote. The Get a quote buttons take you to our booking system, which is run for us by Savari. What you enter there is covered by that system rather than by this website.
If you telephone us. Our telephone service is provided by Circle Cloud. Calls may be recorded, and voicemails and recordings are stored securely by them on our behalf.
Information about children
The home to school sign up form asks for a child's name, school year, home address and any special requirements. That information is given to us by a parent or guardian.
We use it only to run the school transport service: allocating the seat, issuing the ticket, making sure the driver has an accurate passenger list, and dealing with anything the student needs.
Where a special requirement relates to a child's health, we only share what the driver or the school needs to know in order to carry the student safely.
Who else sees your information
We do not sell your information and we do not share it for marketing. It is seen by the people at Barker Bus who need it to do their job, and by the following organisations who provide services to us:
- Proton Mail, who provide our email. Forms from this website arrive as encrypted email.
- ShuttleID, who provide our ticketing system and hold the details needed to issue and check tickets.
- Savari, who run our booking and quoting system.
- Circle Cloud, who provide our telephones and store call recordings and voicemails.
- The destination school, where a passenger list or a specific issue has to be shared.
- Our website host, who store the website itself. The website holds no database of customers.
We will also share information where the law requires it, for example with the police or a local authority.
How long we keep it
Home to school sign ups: the school year the booking relates to, plus six months.
Enquiries and call back requests: no longer than we need them. In practice this is around twelve months, so that we can pick up a conversation about a journey you asked about.
Feedback: we keep what you send us so that we can act on it. If you ask us to delete it, we will.
Call recordings and voicemails: kept by our telephone provider for as long as we need them to deal with the call.
Bookings and invoices: kept for as long as accounting and tax rules require.
Where your information is kept
Our email is hosted by Proton Mail. Our records are held on our own computers at Roydon and in the systems listed above. Our suppliers hold information on our behalf under contract.
This website itself stores nothing. There is no customer database on it and no login.
Cookies and tracking
This website does not use cookies, does not track you, and does not use analytics or advertising tools. There is nothing to accept or decline, which is why you will not see a cookie banner.
If you follow a link from here to another website, for example our booking system, our Google listing, Facebook or TikTok, that website will have its own privacy policy and its own cookies.
Your rights
You can ask us to tell you what information we hold about you, to correct it if it is wrong, to delete it, or to stop using it in a particular way. You can also object to us using it, and ask for a copy in a portable form.
Email contactus@barkerbus.co.uk and we will respond within one month. There is no charge.
If you are not happy
Please tell us first and we will try to put it right. You also have the right to complain to the Information Commissioner's Office, the UK regulator for data protection, at ico.org.uk or on 0303 123 1113.
Changes to this page
If we change how we handle information, we will update this page. This version was published in October 2026.
